GUIDE
How to Share Your Timetable with Attendees
Share live DJ timetables with your crowd using GIG DECK's public URL and QR codes. Let your attendees check set times on their own browsers with no app download required, keeping them connected instantly.
At every show, people want to know two things: who’s playing right now, and when is the person they came for on. Printed schedules get lost in dark rooms, and the image you posted on Instagram disappears into the feed once the night gets going.
GIG DECK lets you publish a live schedule that updates in real time. Attendees open it in their browser—no app to download—and always see the current state of the show.
How to Share
1. Publish from your event dashboard
Once your schedule is built, hit “Publish” to generate a read-only public URL. Attendees can view but not edit.
2. Post it on social media
Drop the link into your Instagram bio, pin it on X, and include it in your event page. People heading to the show will find it before they even arrive.
3. Put QR codes around the venue
GIG DECK generates a QR code that links directly to the public schedule. Print it and tape it at the door, the bar, and near the stage. Most people will scan it without being asked.
4. Changes show up automatically
If a set gets extended or the order changes, you update it in GIG DECK and everyone’s browser reflects the new schedule immediately—no need to re-post anything.
Crew Link vs. Public Link
The crew link has editing access. The public link is view-only. Don’t post the crew link publicly by mistake.
What Sharing Actually Changes
- Fewer “who’s on?” questions at the door — once people know they can check their own phone, they do
- Works for livestream audiences too — share the link in the chat and remote viewers can follow along
- Still accurate after delays — unlike a static image, the live link reflects whatever the actual current schedule is
Where to Put the QR Code
- Entrance / ticket desk — staff can mention it when checking people in
- Bar counter — people look at their phones while waiting for drinks anyway
- DJ booth area — fans near the front often want to know who’s up next
Social Media Timing
Post the schedule link a day or two before the show so people can plan. On the night, have performing DJs include the link in their stories when they announce they’re about to play. It drives clicks and helps fans track the rest of the lineup.
FAQ
Q: Do attendees need to download an app?

Q: Does the URL expire after the event?
No. It stays active as an archive, so people can look back and see who played when.
