Club Event Timetable Management

Club events combine low light, loud rooms, lean staffing, and schedules that cross midnight. A useful timetable must remain readable at a distance and make schedule changes easy to distribute.

Get the overnight date right

An overnight show can become two different schedules when one person says “Saturday night” and another reads “Sunday morning.” Confirm:

• The date used for the event
• The venue time zone
• Planned start and finish
• Slots that cross midnight

Use the date and time together in crew messages instead of relying on “tonight” or “after midnight.”

Make the booth display readable

A DJ cannot zoom into a small grid while performing. Use LIVE display to keep the current artist and remaining time visible at a glance.

Set brightness under show lighting, not in an empty bright room. Mount the device where vibration will not move it and where it does not block equipment controls.

Align a lean crew

Door, bar, booth, and operations staff can open the same read-only AUDIENCE LINK even when they work in separate parts of the venue.

Keep one person responsible for edits and use the viewing page for everyone else. Communicate major order changes directly rather than relying on the screen alone.

Prepare for poor reception

An already loaded page can remain visible when reception weakens, but time sync and new schedule edits require an internet connection.

Before doors open:

1. Open the page at both the booth and entrance
2. Make a temporary test edit
3. Confirm that it reaches the viewing screen
4. Share the venue Wi-Fi and backup connection process

If the network drops, decide which editor device is the authoritative schedule.

Plan power and screen wake behavior

Long-running displays consume battery. Prepare power, keep cables away from performers, and use a stable stand.

The screen wake lock can be enabled in settings, but behavior varies across devices and browsers. Test the operating-system auto-lock settings as well.

Pre-show checklist

• Overnight times use the correct date
• Booth text is readable under show lighting
• One editor is assigned
• The AUDIENCE LINK opens at the door and booth
• A test change reaches each screen
• Power, stand, and backup connection are ready

For club operation, the decisive question is not how many features an app has, but whether it remains usable when the room is dark, loud, and difficult to connect.
